Privacy Policy

This Privacy Policy applies to ghostedai.io, the business brain, call bookings, contact forms, calendars, communications, and services provided by Ghosted Ai LLC. It covers information from website visitors, prospective clients, clients, client representatives, and business contacts whose information is processed through services we provide.

We collect information you choose to provide, such as name, business name, email address, phone number, website URL, company details, service interests, appointment details, intake-form responses, uploaded files, messages, call notes, proposal details, billing details, and other information submitted through forms, calendars, emails, calls, texts, chats, or client systems.

When Ghosted Ai builds or runs custom tools for a business, we may process CRM records, pipeline activity, lead sources, conversation summaries, call or message history, form submissions, booking activity, campaign activity, usage data, dashboard metrics, and report outputs.

This information is used to provide the requested services, improve routing and handoff, and show what the system is doing.

When a business connects an account to its brain, we read records from that account to build the brain: counts, findings, questions, reports and answers for that business. Depending on what is connected, this can include calendar events, invoices, quotes, payments, customers, account balances and reviews, and, where the business buys connection services, email, call and CRM records.

We request read-only access wherever the provider offers it. The brain cannot send messages, change records, move money or buy anything in connected systems. The brain never asks for or stores your passwords to connected accounts. Connection tokens and keys are stored encrypted.

What the owner teaches the brain is stored as its memory. The owner can view, change or remove it from the dashboard. Earlier versions are kept, inactive, so changes can be traced.

If you connect Google Calendar, the brain uses Google's read-only calendar permission. From each event it stores the title, start and end time, whether it is all-day, recurring or cancelled, whether you organized it, and how many guests were invited or declined. It does not store guest names or email addresses, event descriptions, locations or attachments.

We use Google user data only to provide and improve the brain's features for the business that connected it. We do not sell it, use it for advertising, or use it to build a profile of you for anyone else. We do not use it to develop, improve or train generalized Ai or machine-learning models.

Ghosted Ai does not read your Google data except where you have agreed, such as when we view or work on your brain to support you (every visit and change is logged, and the log is available to you on request), where it is needed for security or to investigate abuse, or where the law requires it.

Ghosted Ai's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

You can revoke access at any time from your brain's Connections page, in your Google account's security settings under third-party access, or by asking us. Ask us to delete the Google data we stored and we will delete it within 30 days.

The brain uses Ai models, reached through Vercel's Ai Gateway, to understand what records mean (for example, whether a calendar event is a customer appointment), to phrase questions, and to answer the owner's questions. Counting, math and dates are done by our own code, not by the models.

A business's records are sent to a model only through a provider set not to retain the data and not to train on it. Until that setting is in place, the brain processes only Ghosted Ai's own data and clearly labeled sample data.

We may collect technical and usage information such as IP address, browser type, device information, operating system, referring URL, pages viewed, links clicked, session activity, cookie identifiers, approximate location, and analytics or conversion data.

We use cookies, pixels, scripts, log files, and similar technologies for site functionality, analytics, security, and measurement.

We may receive information from clients, CRM providers, calendar tools, communication platforms, analytics providers, ad platforms, design tools, data processors, public business listings, public websites, reviews, social profiles, and other sources used to provide or evaluate services.

We do not rely on purchased or unlawfully obtained contact lists for Ghosted Ai's own marketing.

• Build and run the business brain and custom Ai tools, such as follow-up, websites, front desk agents, social posts, search, dashboards, and reports.
• Operate appointment, intake, proposal, support, billing, and client-management workflows.
• Personalize services using approved business context and relevant conversation history.
• Measure performance, usage, reliability, and operational friction.
• Maintain security, prevent abuse, troubleshoot issues, and enforce agreements.
• Comply with legal, accounting, tax, platform, carrier, and regulatory obligations.

If you provide a phone number, we may use it to respond to your inquiry, coordinate appointments, provide requested services, or communicate where permitted by law. Marketing SMS or calls require appropriate consent.

Texts from Ghosted Ai are about a call you booked or a question you asked. Message frequency varies. Message and data rates may apply. Reply STOP to stop texts at any time.

Sign-in links and brain reports are sent by email because you asked for them. Any marketing email we send includes a way to unsubscribe.

Your phone number and text consent are never sold or shared with third parties for their marketing.

For some services, Ghosted Ai processes information on behalf of a client. In those cases, the client controls the source, purpose, and lawful basis for the data, and Ghosted Ai uses the information to provide the contracted service.

Clients are responsible for their own privacy notices, consent records, suppression lists, opt-out handling, and lawful instructions.

We may disclose information to service providers and vendors, CRM and communication platforms, hosting and database providers, payment processors, analytics and ad tools, professional advisors, legal authorities when required, business transfer recipients, and other parties with your direction or consent.

We require service providers to protect information and use it only for approved business purposes.

Ghosted Ai does not sell personal information for money. We also do not sell covered information under Nevada privacy law. Nevada residents may still send a request that we not sell their covered information to privacy@ghostedai.io, and we will confirm it.

If our practices change in a way that requires new disclosures or opt-out rights, we update this Policy and provide the required choices.

You can control cookies through your browser settings. Some browser settings may affect site functionality. If we use analytics, advertising, or conversion tools, those providers may process data under their own terms and privacy policies.

Depending on where you live, you may have rights to request access, correction, deletion, portability, restriction, or opt-out of certain processing. You may also have the right to appeal a privacy-rights decision where applicable law provides that right. To submit a request, contact privacy@ghostedai.io.

We may verify your identity and request enough information to locate the relevant records.

We retain information for as long as reasonably necessary to provide services, maintain records, improve operations, comply with legal or accounting obligations, resolve disputes, enforce agreements, and protect the business.

Retention periods vary by record type, client instructions, platform settings, and legal requirements.

Business brain data is kept while the brain is active. When a business asks, or when its account closes, we delete the records the brain read and its memory within 30 days, except billing records and security logs we must keep.

If you delete your brain from your dashboard, it stops reading and every connection's access is withdrawn right away. What it read and learned is kept for 14 days so you can restore it if the deletion was a mistake, and is then deleted for good.

We use reasonable administrative, technical, and organizational safeguards designed to protect information. No method of transmission, cloud storage, CRM operation, messaging, or Ai processing is completely secure.

Clients and users should avoid sending unnecessary sensitive information and should protect account credentials.

If we learn of a security breach that affects your personal information, we will notify you as required by law, including Nevada law.

Our website and services are intended for business users and are intended for people 18 and older. We do not knowingly collect personal information from anyone under 18.

If you believe someone under 18 provided personal information to us, contact us so we can review and delete it where required.

Ghosted Ai is based in the United States. If you access the website or services from outside the United States, your information may be processed in the United States or in locations where our service providers operate.

We may update this Privacy Policy from time to time. The date at the top shows when the current version was last updated. Material updates are reflected on this page.
